Schedule an Interview

Move the candidate into the stage
Move one candidate into a Live Interview stage, and the schedule dialog opens. For a candidate already in the stage, click Schedule on the To schedule view or in the candidate’s details.

Set the slot
Pick the Date, Time, Duration (min), and Timezone. The start time must be in the future, and the duration can be 5 to 480 minutes.

Choose the mode
Select Video, Phone, or In-person, then fill in where the interview happens.

Pick an interview panel
Choose the panel who will interview and score the candidate. A panel is required.

Choose the emails and schedule
Tick To the candidate and To the panel as needed, then click Schedule. You can set a Reply-To team member and use Schedule send to delay the emails.
Equip does not create the meeting for you; paste a link from your own video tool. Both emails include Add to calendar links for Google Calendar and Outlook.
Set Up the Stage
Each Live Interview stage carries defaults that pre-fill the schedule dialog. Set them on the stage card in the job’s Settings, under the Candidate Pipeline tab.
All of these can be changed per interview when you schedule, without affecting the stage defaults.
The Emails That Go Out
Scheduling can send two emails, each controlled by its own checkbox:
Both templates support interview variables such as the date and time, duration, mode, and meeting link. See Email Templates.
Reschedule or Cancel
You can change a booked interview from the Live Interviews page or from the candidate’s details.
Both actions have a checkbox to notify the candidate and the panel, and the reason you enter is included in the email.
The Live Interviews Page
Live Interviews, under ATS in the sidebar, lists interviews across all your job openings. Use the view pills to switch between All, Upcoming, Awaiting feedback, Completed, Cancelled, and To schedule.
You can filter the table by job opening, scheduled time, interview type, panel, panel member, and panel score. Each row has Join, Score, or Result actions, depending on where the interview stands.
