# Scheduling Live Interviews

> Book, reschedule, and cancel video, phone, and in-person interviews, and track them in one place.

A **Live Interview** stage is a video, phone, or in-person round that you hold outside Equip. Equip books the slot, briefs the candidate and the interview panel by email, and collects each panellist's feedback afterwards.

## Schedule an Interview

    Move one candidate into a Live Interview stage, and the schedule dialog opens. For a candidate already in the stage, click **Schedule** on the **To schedule** view or in the candidate's details.

  <Step title="Set the slot">
    Pick the **Date**, **Time**, **Duration (min)**, and **Timezone**. The start time must be in the future, and the duration can be 5 to 480 minutes.
  </Step>

  <Step title="Choose the mode">
    Select **Video**, **Phone**, or **In-person**, then fill in where the interview happens.
  </Step>

  <Step title="Pick an interview panel">
    Choose the panel who will interview and score the candidate. A panel is required.

  <Step title="Choose the emails and schedule">
    Tick **To the candidate** and **To the panel** as needed, then click **Schedule**. You can set a Reply-To team member and use **Schedule send** to delay the emails.

Each mode asks for different details:

| Mode | What you enter |
| - | - |
| **Video** | A **Meeting link** from Google Meet, Zoom, Teams, or another tool |
| **Phone** | The number the panel will call, or a bridge number and access code |
| **In-person** | An **Address** (typed or picked from a saved location) and an optional reception note. You can also add a video link for panellists joining remotely. |

  Equip does not create the meeting for you; paste a link from your own video tool. Both emails include **Add to calendar** links for Google Calendar and Outlook.

Candidates move into a Live Interview stage one at a time, so each gets their own slot. To move someone now and book later, click **Move without scheduling**; they wait under **To schedule**.

## Set Up the Stage

Each Live Interview stage carries defaults that pre-fill the schedule dialog. Set them on the stage card in the job's **Settings**, under the **Candidate Pipeline** tab.

| Setting | What it controls |
| - | - |
| **Mode** | The default mode: Video, Phone, or In-person. New stages start on Video. |
| **Minutes** | The default interview length. New stages start at 45 minutes. |
| **Suggested Qs** | Questions and topics panellists see while they interview |
| **Panel** | The interview panel picked by default |
| **Scorecard** | The scorecard panellists fill in |
| **Invitation Email** | The email template sent to the candidate |

All of these can be changed per interview when you schedule, without affecting the stage defaults.

## The Emails That Go Out

Scheduling can send two emails, each controlled by its own checkbox:

| **Candidate invite** | The candidate | The stage's **Live Interview Invitation** template |
| **Panel brief** | Every panel member | Your team's **Live Interview Panel Brief** template, with a link to the candidate's CV and interview details |

Both templates support interview variables such as the date and time, duration, mode, and meeting link. See [Email Templates](/email-templates).

<Warning>
  A candidate with an **unverified email** is still scheduled, and the panel is still briefed, but the candidate receives no invite. Share their verification link first.

## Reschedule or Cancel

You can change a booked interview from the [**Live Interviews** page](https://equip.co/recruiter/live-interviews/) or from the candidate's details.

| Action | What happens |
| - | - |
| **Reschedule** | Opens the same dialog with the current details. You can change the slot, the mode, or the panel, and add an optional reason. |
| **Cancel** | Cancels the interview and returns the candidate to **To schedule**. The panel loses access to the candidate through that interview. |

Both actions have a checkbox to notify the candidate and the panel, and the reason you enter is included in the email.

<Warning>
  Moving or rejecting a candidate does not cancel their interview. Equip warns you that it stays scheduled; cancel it from the candidate's details if it is no longer needed.

## The Live Interviews Page

[**Live Interviews**](https://equip.co/recruiter/live-interviews/), under **ATS** in the sidebar, lists interviews across all your job openings. Use the view pills to switch between **All**, **Upcoming**, **Awaiting feedback**, **Completed**, **Cancelled**, and **To schedule**.

| Status | Meaning |
| - | - |
| **Scheduled** | The interview is booked and the slot has not ended |
| **Awaiting feedback** | The slot has ended and panellists still need to submit |
| **Completed** | The panel's feedback is in, or a recruiter closed the round |
| **Cancelled** | The interview was cancelled, or the candidate did not attend |

You can filter the table by job opening, scheduled time, interview type, panel, panel member, and panel score. Each row has **Join**, **Score**, or **Result** actions, depending on where the interview stands.
